See each adult's classroom responsibilities

A classroom para schedule shows the whole team's day: each shared activity, and what each adult does in it. This template has three adults, three stations, and two rotations, with staggered breaks and a named handoff, and every adult's personal copy comes from the same duties.

It helps a teacher or lead para who keeps a small team's schedule, and each para who needs their own part of it. The other adults are labels you type, not accounts.

Break and handoff

Snack supervision needs 2 adults. Breaks are staggered, so the relief is entered to the minute: who covers, from when, until when.

If a break left an interval with fewer adults than the duty needs, the checks would point it out and the interval would stay visible. The schedule never fills it for you.

What to enter

Time
Each activity's exact start and end. Rotations can be unequal; the five-minute move gets its own row.
Duty
The shared activity: Station A: reading, Rotate groups, Snack supervision.
Adult role
Each adult's own job inside the activity. One activity can hold three different roles, and part of an activity when someone covers only some of it.
Location
The station, room, or area: Station B, Room 108, the yard.
Shared note
What everyone needs to know, such as which way the groups rotate.
Adults needed
How many adults a duty needs. The checks point out when fewer are entered; they do not fill the gap.

How to use it

  1. Write down each adult's label and which station or group they take in each rotation.
  2. Choose Use this template and replace Colleague 1 and Colleague 2 with the labels your team uses.
  3. Enter each rotation's times and each adult's role in it, including the move between rotations.
  4. Stagger the breaks and enter the relief: who covers, from when, and until when.
  5. Print the team board in landscape for the classroom, and a personal day for each adult.

What stays the same, and what can change

  • The rotation pattern repeats on every workday.
  • Each adult's personal copy is read from the same duties as the board, so the two cannot drift apart.

What can change

  • One adult out on one date: record the change for that date. A duty left with fewer adults than it needs is pointed out, not filled automatically.
  • A new rotation order from a set date: edit the routine and choose when the new version starts.

Scope and plan limits

On Free, “Use this template” puts the whole day in your draft with your own duties, and Colleague 1 and Colleague 2's parts stay as unassigned slots. Your own day, one-day changes, and a single printed copy of any layout work on Free.

Assigning duties to other adults (a team schedule of up to 25 adults, including you) is part of Para Schedule Plus. The team board prints on either plan from what is entered.

Practical questions

Do the other adults need accounts?

No. Colleague labels are names you type, and a label never becomes an account. Someone signs in only if you invite them to read a view you share.

Can I use it for a para rotation schedule?

Yes. Each rotation is a block of time, each station a location, and each adult's role says what they do there; the shared note records how the groups move. How your school arranges its adults is its decision; the schedule records it.

What happens when an adult is absent?

Record the change for that date only. The regular week stays as it was, and any duty left with fewer adults than it needs stays visible for a person to resolve.

Can each adult get only their own part?

Yes. Print a personal day for one adult, or invite a named person to read a view limited to the adults, dates, and details you choose.

Sample break times are placeholders. Use the break times your school sets; a starter does not describe anyone's break entitlement.
